The situation

A tyre workshop runs on paper. A slip is filled in at the bay, carried to the till, re-read at the end of the day and typed into the accounting system by whoever is responsible for the books. Every one of those steps is a chance to lose a registration number, an email address or a wheel position — and the person who finds the gap is always the one furthest from the customer.

On top of that sits the tyre hotel: hundreds of stored wheel sets, each belonging to a vehicle, each needing a storage location, a condition, a season and a booking for the next changeover. Kept separately, it duplicates every customer record the workshop already holds.

What we did

One system, two halves, one register. The workshop side is a digital work card: registration country and number, customer, service performed, articles sold, payment by card or Swish, all on a single screen. Conditional logic drives the follow-up questions — choose a puncture and it asks which wheel position; answer that a repair is not possible and it requires the replacement to be recorded, then generates the standard wording itself.

The customer enters their own email address on a customer-facing screen at the till, or by QR code, or from a link sent before a booked visit. Returning customers are shown a masked version of the address already on file and simply confirm it. No transcription, and no email addresses guessed from handwriting.

Nothing leaves the system incomplete. A case only becomes ready for accounting once registration number, email, wheel position, articles and payment are all present — the status is green or it does not move. From there a complete draft is created in Spiris, so the person doing the books reviews and reconciles rather than re-typing.

The tyre hotel is its own section over the same customer and vehicle register: check-in and check-out, wheel sets by season, storage locations, condition photos, booked changeovers, flagged deviations and full history. A stored set can be attached to the next workshop visit without anyone re-entering the vehicle.

Why it matters

The value is not the screens, it is the validation. A workshop system that lets an incomplete case through has simply moved the paperwork somewhere less visible.

The same principle runs through the tyre hotel: one register, one source of truth, and a booked changeover that already knows which wheels are on the shelf and where.
